Cancellation Policy | Terms & Conditions

The health, safety and well-being of our community constitutes a top priority for us.

Cancellation Policy:
To secure your spot in one of our retreats, a non-refundable deposit of 30% of the total participation cost is required. If you choose to cancel your participation within 45 days prior to the start date of the retreat (unless otherwise specified on the retreat’s webpage with a specific date), 100% cancellation fees apply. We provide flexible payment plans for settling the remaining balance, with specific details sent to each participant via email.

Retreat cancellation:
If Travelgems needs to cancel the retreat due to unforeseen events beyond our control, we’ll promptly inform you and refund the full retreat cost.

Cancellation insurance:
We strongly advise participants to get travel, medical, and cancellation insurance to protect against unexpected situations that might lead to trip changes or cancellations. This insurance should cover potential losses due to medical emergencies, travel disruptions, or personal issues. Travelgems doesn’t endorse specific insurance providers, so it’s your responsibility to choose coverage that includes trip cancellation and interruption protection. We recommend thoroughly understanding your insurance provider’s terms and claims process.

Booking modifications:
While we understand that unforeseen circumstances may arise, please note that our booking policy is for the first deposit to be nonrefundable once confirmed and paid. No refunds or credits will be issued for changes.

Transferability:
In some cases, we may allow clients to transfer their deposits to one of our other retreats. To maintain the quality of the retreats and ensure meaningful interactions, usually such replacements share similar interests and familiarity with the booked retreat. Final approval for any transfer remains at our discretion to create a cohesive and enriching environment for all participants.

Covid-19 measures:
Since the measures regarding the SARS-Cov-2 pandemic are constantly changing, we make sure to regularly update our safety guidelines. In case of a Covid-19 travel ban or any other ban that relates to any other pandemic, the total amount paid by guests will be refunded. We make sure to respect Social Distancing guidelines and the use of a protective mask where deemed obligatory. Our hotel partners have Covid-19 testing centers inside the venue premises and work closely with us to ensure guests’ comfort and safety at all times.

Payment methods:
We work to guarantee the maximum possible security of your electronic transactions. The bank we cooperate with uses the latest technology in its systems and processes. On your part, you should preferably use computers and devices you control yourself. We’ve established a secure payment platform with our authorized bank to transmit your information safely. As banks may occasionally halt charges for security reasons, please contact them before proceeding with deposits.
Kindly note that all charges will be in EUR, as we’re not yet authorized to accept payments in other currencies. By proceeding with the booking, you agree to our cancellation policy. Upon confirming your payment, we will provide you with a proof of payment.

There are three ways you can proceed with your payment:

Payment directly through the website

Payment via BANK TRANSFER

**We will provide the details via email to each participant individually**

In case of bank transfer please make sure that you will indicate your name and retreat title in the description.

Payment via CREDIT CARD

We provide payment links that have validation period of 4 days, with a 30-minute window upon opening for you to complete the transaction.
In case of using an American Express credit card, please be informed that there is an additional transaction fee of 3% on the payable amount.

Accommodation
Travelgems has the right to change the accommodation/retreat venue of participants without previous notice if this needs to be done for safety or for other essential reasons of the retreat.

Participants should be aware that all rooms during check-out should be in the same condition as they were during check-in.

Comments
When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Cookies
If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Embedded content from other websites
Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Who do we share your data with:
If you request a password reset, your IP address will be included in the reset email.

How long we retain your data:
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights do you have over your data:
If you have an account on this site or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Where do we send your data:
Visitor comments may be checked through an automated spam detection service.
